User settings
The Settings panel is the control centre for your personal account. Open it by clicking your avatar or account name in the bottom-left corner of the sidebar and selecting Settings, or by navigating directly to thechatagent.co.uk/settings.
Profile
The Profile tab lets you update the personal details associated with your account.
- Display name — the name shown in the UI, team member lists, and on shared chats. Click the field, type a new name, and click Save changes.
- Email address — the address used for login and notifications. Changing your email triggers a verification link to the new address. Your old email continues to work until the new one is verified.
- Password — click Change password, enter your current password, then choose and confirm a new one. Use a strong, unique passphrase or a password manager.
Appearance
The Appearance tab controls how the application looks on your device. Choose from three theme options:
- Light — a bright, high-contrast interface suitable for well-lit environments.
- Dark — a dark interface that reduces eye strain in low-light conditions.
- System — automatically matches your operating system or browser's current light/dark preference. This is the default for new accounts.
The selected theme is stored per account, so it follows you across devices when you log in.
Provider API keys
The Chat Agent does not bundle AI access — you connect your own provider API keys so you are billed directly by the provider and retain full control over your usage. Keys are managed securely within the app under Settings → Providers.
Keys are stored encrypted and are never exposed in plain text after the initial save — the UI shows only the last four characters of each key for identification. You can add, test, or revoke keys at any time without affecting your account or chat history.

Usage and plan limits
The Usage tab shows your consumption against the limits of your current plan for the active billing period. The dashboard displays:
- Messages sent — total messages sent across all chats this month, compared with your plan's monthly cap.
- Active plan — your current plan (Free, Pro, or Team) with the reset date for your monthly allowance.
- Upgrade prompt — if you are approaching or have reached your cap, a direct link to the Pricing page appears so you can upgrade without leaving Settings.
Keep an eye on your usage
Check the Usage tab regularly, especially if you run agents or workflows that can generate many messages in a single session. Approaching your cap mid-month? Upgrade from Settings → Usage → Upgrade plan to restore full access immediately — your existing chats and data are never affected by a plan change.Notification preferences
The Notifications tab lets you opt in or out of email notifications, such as:
- Usage alerts when you reach 80% and 100% of your monthly message cap
- Team invitations and membership changes
- Product updates and announcements (optional)
Danger zone
At the bottom of the Profile tab, the Danger zone section contains irreversible account actions:
- Delete account — permanently deletes your account, all personal chats, saved prompts, agents, and connected provider keys. This action cannot be undone. Team workspaces you own must be transferred or deleted before your account can be removed.
