Teams and collaboration
A team in The Chat Agent is a shared workspace where members can access the same agents, workflows, prompts, and chat history. Teams remove the need to recreate resources in every individual account — configure once, share with everyone.
Teams are available on paid plans. If you are on the Free plan, visit the Pricing page to compare plans and upgrade.
Creating a team
To create a new team workspace:
- Open Settings from the left sidebar and select the Teams tab.
- Click Create team and enter a team name. The name is shown to all members and appears in the workspace switcher.
- Click Create. You are automatically assigned the Owner role and the new team workspace opens immediately.
Once the team exists you can invite others, share resources, and switch between your personal workspace and the team workspace using the account menu at the top of the sidebar.
Inviting members
Members are invited by email address. Only Owners and Admins can send invitations.
- Go to Settings → Teams → Members and click Invite member.
- Enter the invitee's email address and choose a role (see Roles and permissions below).
- Click Send invite. The invitee receives an email with a link to accept the invitation. If they do not yet have an account, they are prompted to create one first.
Pending invitations are listed in the Members tab. You can resend or revoke an invitation at any time before it is accepted.
Who can invite and manage members?
Only Owners and Admins can invite new members, change member roles, or remove members from the team. Regular members can view the member list but cannot make changes to team membership.Roles and permissions
Each team member is assigned one of three roles. Roles determine what actions a member can take within the team workspace.
| Role | Description | Key permissions |
|---|---|---|
| Owner | The person who created the team; typically a billing contact or team lead | All Admin permissions, plus: transfer ownership, delete the team, manage billing |
| Admin | Trusted managers who configure the workspace | Invite and remove members, change member roles, create and delete shared resources (agents, workflows, prompts), pin agents for the team |
| Member | Standard collaborators — the default role for new invitees | Use shared agents, workflows, and prompts; participate in team chats; create personal resources within the team context |
Shared resources
When you work inside a team workspace, the following resources are shared with all team members automatically:
- Agents — any agent created inside the team workspace is visible to all members. Admins can pin frequently-used agents to the top of the agent picker. See the Agents guide.
- Workflows — workflows defined in the team workspace can be run by any member. See the Workflows guide.
- Prompts — saved prompt templates created in the team workspace are available to all members from the prompt library. See the Prompts guide.
- Team chats — chats started inside the team workspace are visible to all team members in the shared chat history. Members can read and continue any team chat.
Resources created in your personal workspace remain private to you unless you explicitly move them into the team workspace.
Team chats and external sharing
Team chats are collaborative by design — any member can read, continue, or reference them. However, sharing a team chat with someone outside your team (for example, a client or stakeholder) is handled separately through share links. See the Sharing guide for details on generating and managing external share links.
Removing members and leaving a team
An Owner or Admin can remove a member at any time from Settings → Teams → Members. The removed member immediately loses access to the team workspace and all shared resources. Their personal account and personal resources are not affected.
Members can leave a team themselves by selecting Leave team from the same Members page. Owners must transfer ownership to another member before they can leave.
